Administrative Assistant
Our client is seeking an experienced and detail-oriented Administrative Assistant to provide comprehensive support to their operations team. This role involves collaborating closely with office administrators and various departments to ensure seamless operations. The ideal candidate will bring a proactive mindset, strong organizational skills, and the ability to manage a wide array of administrative and operational tasks with limited supervision.
This role is fully onsite in Portland, Oregon working 20 hours a week from 9AM to 1PM, Monday – Friday.
Administrative Assistant Responsibilities
- Provide general office support, including answering calls, managing correspondence, and preparing reports, presentations, and meeting agendas.
- Serve as a point of contact for internal and external stakeholders, directing inquiries to appropriate staff or handling routine matters independently.
- Research, compile, and consolidate data for reports and special projects.
- Maintain and update both physical and electronic records, ensuring all procedural documents are current.
- Support facility maintenance by initiating move or repair requests and coordinating with vendors.
- Act as a resource for less experienced colleagues, providing training and oversight as needed.
- Track and reconcile expenditures, assist with budget preparation, and coordinate payroll adjustments in collaboration with the Finance Department.
- Manage personnel administrative tasks, including onboarding, benefits assistance, and tracking employee training completion.
- Handle purchasing and inventory management, ensuring cost-effective procurement and maintaining inventory records.
- Coordinate with IT for database maintenance and user interface support.
- Support safety programs by scheduling training, maintaining records, and tracking compliance with protective equipment policies.
Administrative Assistant Qualifications
- High School Diploma or GED required.
- 2-5 years of administrative experience, with specialized or multiskilled abilities developed through job-related training and experience.
- Proficiency in MS Office Suite; training provided for other systems.
- Strong communication skills, both verbal and written.
- Detail-oriented with excellent organizational and problem-solving abilities.
- Demonstrated adaptability and a strong work ethic.
- Ability to work independently with limited supervision while supporting team members as a resource.
Compensation: $20.69-$24.14/hr. (DOE)
